Why your meetings aren’t working (and how to fix one in 15 minutes)

If you’ve ever walked out of a meeting thinking, “Well, that was a waste of time” then you’re in excellent company. Most meetings fail for the same predictable reasons. And fortunately, every one of those reasons is fixable.
Today, we’re breaking down the three most common meeting problems, why they happen, and how you can correct them in as little as fifteen minutes.
1. Your meeting doesn’t have a real purpose
Many meetings get scheduled out of habit: “We always meet on Tuesdays.” “We should probably talk about this.” “This seems important.”
But an effective meeting has one primary purpose — not three, not five, and definitely not “we’ll see what happens.”
As the 15‑Minute Meeting Makeover™ explains:
“Every effective meeting has one primary purpose:
Decide, Inform, Brainstorm, Align.”
If you can’t choose one, the meeting isn’t ready. And that’s not a failure: that’s a signal. Clarifying the purpose is the first step toward making the meeting worth everyone’s time.
2. The agenda Is either missing…or a monster
A vague agenda is like handing your participants a map with no landmarks. A bloated agenda is like handing them a map with every landmark.
And the worst offender? Not sending the agenda in advance. (Yes, that’s me giving you the slow, disappointed head tilt.)
The makeover guide reminds us that a strong agenda is:
“Short, focused, and owned… Every item should have a clear owner and a fixed amount of time.”
3. No one knows what was decided
This is the silent killer of meetings.
Everyone leaves thinking they’re aligned… until three days later when someone says, “Wait, I thought you were doing that.”
Your guide calls this out directly with its closing checklist:
“What did we decide… Who owns what… Deadlines… How we’ll follow up.”
If you don’t end with clarity, the meeting unravels the moment everyone logs off or walks out.
